LETTER TO HOMEOWNERS 

November 17, 2008

  

Dear Estates Homeowner’s,

 

     C.E.A., INC. would like to take this opportunity to introduce ourselves and provide you with some important information regarding our services.  We have been contracted to start services in November for The Estates. 

     My name is Sandy Bennett I am your new Community Association Manager.  We understand that homeowner’s will have concerns and many questions; hopefully we will answer some of them in this letter. 

First, I would like to welcome all homeowners to call or email me with any questions or concerns that you may have.  It is important to communicate with one another, so that we can work together and find solutions for problems if they arise.  As your Property Manager, I will always return calls the same business day, until 8:30pm or at least within 24 hours.  You can send an email for me and I can respond to you that way as well.  If it is an emergency, I will call back regardless of the time.  Due to the nature of Property Management, it is not always possible for me to call you back immediately;  If one of our staff is able to assist you, we will forward your call to be returned right away.

With the current volatile market and growing economic concerns, CEA’s main goal is to assist the Association in finding ways to reduce cost and build reserves for the future.  We will obtain 3 bids for comparable rates for projects over $100, we will review the current Insurance documents annually for any changes that may be beneficial to the HOA.  We will assist homeowners in finding low cost contractors or vendors for maintenance issues they may have, and more.  We will look at the current cost to the association as it pertains to attorney fees and ensure that the association is not paying “out of pocket” legal fees for collections and foreclosures.  CEA does not stand for the initials of someone’s name but more like a “mission statement” if you will, Communicate, Educate & Achieve. 


ASSESSMENTS 

    CEA will be sending your 2009 Quarterly Assessment coupons in December.  Please disregard the coupon books recently received.  DO NOT SEND YOUR PAYMENT TO the Previous PO BOX.

Once you have printed the form, fill it out, and either fax or email back to our office and we will process from there!  You can schedule your payment for a single payment or schedule the entire year! 

C.E.A., with the permission of The Estates HOA, will be able to provide you with several options when it comes to paying your Quarterly Statements.  We offer Automatic debits from your account; we also have Visa & MasterCard processing, these can be scheduled as one time payments or for each quarter.  We can provide these forms to complete if you are interested in these services.   We would also like to have your email address (if available) so that we may send information to you from time to time.  There also was no phone numbers for owners listed on our documents if you could also send that information back as well.  We are providing a form to complete included in this letter, simply fill out and either fax back to us or email back to us so that we may update your information. 

             

     We welcome any suggestions.  Send messages to the Property Manager and the Board of directors.

     As Property Managers, we realize that we will have to address issues relating to violations of your Governing Documents.  This is never a “pleasant” circumstance and frankly we wish could be avoided.  If your property is sited for any violation, per your By-laws, we will personally try to call you first to explain the circumstances.  Our primary goal is to have the Homeowner correct the violation with no additional cost. But if the violation is repeated after notification has been accomplished then the possibility of monetary fines will come into play. Please check your new website often for updates and information.   We want your feedback and we will listen to your suggestions and concerns.

If you are a renter that received this letter, please contact the Property Manager so that they may forward a copy to the owner of the property.

 

       We will be providing you with a magnet for your refrigerator with our information, so that you have the numbers at hand to reach us.  Please do not hesitate to call.

CALENDAR



Reminders
Some of the most common maintenance issues and notices that we see and receive calls about are as follows:

PARKING:
Please do not park over the sidewalks, in front of entry or access driveways, fire hydrants etc.  This is a safety concern for children walking home or riding their bikes, as well as other obvious hazards.  Please be courteous.

Yard Debris
Please place your yard debris or bulk items out for pick up the night before or the morning of sceduled pick ups.

Trash Cans
Please store your trashcans out of view when not a scheduled day for pick-up.  This can be an overall unsightly view.

General Maintenance Issues:  Cleaning of sidewalks, driveways, drain swales, roofs etc.

Landscaping:
Please be sure to keep the landscape beds free of dead/dying plants and weeds.  Keep freshly mulched or rocks which ever you currently have.
